EON.EMAIL - FREQUENTLY ASKED QUESTIONS

You can have as many premium email accounts as you wish at eon.email, each for £1/year (that is a mere 8 pence per month !), as opposed to the free webmail service at icy.email where, due to its very nature, the users are allowed to have only one free email account.

You need to use your email account with a reasonable regularity. Any email accounts that have not been accessed for 100 (one hundred) consecutive calendar days will be considered abandoned and automatically purged – this includes their respective allocated mailboxes and any content, such as attachments, stored within them.

The premium email account (eon.email) offers copious 10GB Mailbox Storage Space (as opposed to the free email account at icy.email that comes with a much smaller 1GB Mailbox Storage Limit).

If you already have the premium email account (eon.email), the 10GB Mailbox Storage Space is maximal and cannot be increased any further.

The email attachment limit (i.e. the total size of files, such as photos, documents, spreadsheets, etc, to be able to attach to a single email message) is 50MB.

Automatic Setup

EON.EMAIL makes use of the autodiscover technology, so that in the majority of cases, Microsoft Outlook can set up your account for you with only an Email Address and a Password. To set up your email account in Outlook, follow these steps:

•  In Outlook, select the File tab

•  Under Account Information, select Add Account

•  On the Auto Account Setup page, enter your name, email address, and password, and then select Next

•  Select Finish


Manual Setup

If Automatic Setup fails, you can choose Manual Setup or Additional Server Types to enter your email account details manually by using these settings:

Account type: IMAP

Incoming mail server: imap.eon.email

Outgoing mail server: smtp.eon.email

Incoming server port (IMAP): 993

Use the following type of encrypted connection: SSL

Outgoing server port (SMTP): 465

Use the following type of encrypted connection: SSL/TLS

•  Select More Settings > Outgoing Server and tick the box My outgoing server (SMTP) requires authentication

If you experience any problems with the connection or receive a certificate warning, please disable SSL/TLS encryption and change the incoming server port to 143.


If you prefer, you can also set up your account using POP3 protocol, however this is not recommended in general as emails will be downloaded to your device.

To use the POP3 protocol, simply change the Incoming mail server to pop3.eon.email and leave the rest of the setting unchanged.


Note: In addition to Microsoft Outlook, other email clients, such as Apple Mail, Gmail and Mozilla Thunderbird, can be configured in a similar way.

To recover your forgotten password, or change your old password to a new one, please contact us. You will have to first answer a couple of security questions and then we can reset your password for you.

What data we collect

We collect from you the following data:

•  Personal identification information (such as your Full Name, Postal Address, Email Address, Telephone Number and Date of Birth).

How we store your data

We have strict procedures in place in relation to the collection and storage of your personal data. Any your personal and financial data (including credit or debit card details where applicable), while completing our online registration and/or order process, is duly encrypted and protected by 128-bit Transport Layer Security (TLS) cryptographic protocol, so that it cannot be intercepted by a third party.

We use a range of measures and procedures to keep your personal data safe and secure, which may include encryption and other forms of security. Any data that resides on our internal systems, as well as data residing with the external service providers, is securely stored and inaccessible to third parties, with legal exceptions and limitations as detailed in paragraphs above.

All our platforms storing the personal data are fully industry-standard compliant and undergo regular rigorous testing and auditing.

How long we keep your data

We will normally keep your personal data for a period of five years from the end of our relationship with you. This enables us to comply with legal and regulatory requirements or use your personal data where we need to for various legitimate purposes such as managing your account and dealing with any disputes or concerns that may arise. In some circumstances, you have the right to request that your personal data be deleted sooner than specified above. In case we don’t need to retain your personal data for this period of time, we may delete it sooner. We may continue to retain your personal data longer, if entitled or required to retain it, e.g. when required by law, or when requested to do so by law enforcement agencies.

Advertising and Marketing

We may advertise and market to you services and products of ours that we think you might like, as well as those of our partner companies, and in order to do so, we may be presenting you with relevant offers, promotional communications and targeted advertising.

You have the right at any time to stop us from contacting you for advertising and marketing purposes, except where such advertising or marketing is presented to you in exchange for using our services and products free of charge. It the latter instance your only remedy would be to stop using our services and products.

ICY.EMAIL (later ‘we’, ‘us’, ‘our’, ‘ours’, ‘it’, ‘its’) operates the following Code of Conduct that outlines the norms, rules and proper practices of behaviour of an individual (later ‘you’, ‘your’, ‘yours’) using our Services (including, but not limited to, email hosting). By agreeing to these terms and conditions, you are under obligation to follow the rules outlined herein. How you may use our services

Your additional obligations and warranties

You acknowledge and agree that your account is for your sole use only and you agree and warrant that you shall not permit anyone else to use your account or authorise any third party to access your account on your behalf. You are responsible for all activities that take place with respect to your account, and you agree that in the event that ICY.EMAIL believes or has reason to believe, that you have breached these Terms of Use or any of the warranties detailed in this document, ICY.EMAIL may, without any prior notice to you and at ICY.EMAIL’s sole and exclusive discretion, suspend or terminate the provision of the Services provided to you, without any liability of any kind. You also agree and warrant that you waive any and all claims you may have, now and forever, against ICY.EMAIL relating to any action taken by yourself or ICY.EMAIL with regards to Services and agree to indemnify and hold harmless ICY.EMAIL from and against any claims brought by you or third parties as a result of use of the ICY.EMAIL’s Services.

You agree to use your email account with a reasonable regularity. While we continue to actively review and implement new technologies to ensure that our customers neither send nor receive unsolicited email, there is no currently available infallible technology that will completely prevent the sending and receiving of unsolicited email. In view of this, you acknowledge and agree to hold us not liable for any such junk or spam email you may receive via our Services now or in the future.

Similarly, even though we continuously strive to actively review and implement new technologies to ensure that our customers neither send nor receive malware (such as viruses, worms, trojan horses or other harmful software) there is no currently available infallible technology that will completely prevent the sending and receiving of such malicious software. In view of this, you acknowledge and agree to hold us not liable for any such malicious software you may receive via our Services now or in the future.

Your Content

Our Services allow you to send, share or store your Content (including, but not limited to, file attachments of any kind, type and format) or receive Content from others. We don’t claim ownership of any such Content. Your Content remains always and forever in your ownership and you are not only a sole owner of it but also solely responsible for it.

When you share your Content with other people via our Services, you expressly agree that anyone you have shared your Content with may, freely and without any limitations, restrictions and/or charges, use, save, record, reproduce, broadcast, transmit, share, display, communicate and/or delete/erase/discard your Content, in part or as a whole. If you do not want others to have that ability, do not use our Services to share your Content. You represent and warrant that for the duration of these Terms of Use you have (and will have) all the rights necessary for your Content that is uploaded, sent, shared or stored on or through our Services and that the collection, use, retention or deletion of your Content through our Services won't violate any law or rights of others. We strongly advise you to make regular back-up copies of your Content. ICY.EMAIL can't and won’t be held responsible for your Content or the Content others upload, send, share or store with you or others using our Services.

You agree, consent and warrant that in the event that ICY.EMAIL is informed by any party that you are using our Services to transmit messages and/or Content which infringe the copyright or trade mark of any third party, or violate the right of publicity or privacy of any third party, or consist of any other claim or violation of intellectual property rights of any kind, then we may, without prior notice to you and at our sole and exclusive discretion, suspend or terminate the provision of our Services, without any liability of any kind to ICY.EMAIL from either you or any third party. You furthermore waive any and all claims you may have, now and forever, against ICY.EMAIL relating to any action, legal or otherwise, taken in response to any claim that you have infringed the intellectual property rights of a third party, and agree to indemnify and hold harmless ICY.EMAIL from and against any such claims.

You agree, consent and warrant that all of your Content you send, share, allow to be transmitted by, or store on ICY.EMAIL’s Services shall be solely for personal, entertaining, informative, or educational purposes only and that you shall assume the sole responsibility to ensure that all such Content shall be transmitted exclusively to consenting adults and only to countries and places in which such Content comply with the contemporary laws and regulations, local to the locations of both the sender and receiver. You shall always remain the sole person responsible and liable for any and all damages, harm, or losses, whether physical, material, financial, emotional or otherwise, which might be caused by your Content.

You agree, consent and warrant that all of your Content you allow to be transmitted by, or store on, ICY.EMAIL’s Services shall not violate any contemporary laws and regulations, local to the locations of both the sender and receiver, and shall not contain (either directly or via a hyperlink, reference or other proxy) any of the illegal articles listed above or any other material that could be deemed objectionable by third parties or ICY.EMAIL at its sole discretion.

To the extent necessary to provide the Services to you and others, to protect you and the Services and to improve our Services and products, you grant ICY.EMAIL a worldwide and royalty free intellectual property licence to use your Content, for example: to retain, make copies of, transmit, reformat, distribute, share via any communication tools and display your Content on the Services – this may include changing the size, shape or format of your Content to be able to better store it, or display it to you and others. If you publish your Content in areas of the Services where it is rendered available online publicly or without restrictions, your Content may appear in demonstrations or materials that promote the Services. Some of the Services are supported by advertising. We however do not use for such objectives anything what you say or write in your private email, chat, voicemail or video calls.

Receipt by ICY.EMAIL of Content for transmission via, and/or storage on, ICY.EMAIL’s Services which is inconsistent with Terms of Use as specified herein, shall not constitute an agreement by ICY.EMAIL to allow the ICY.EMAIL’s Services or equipment to be used to disseminate any such Content in whole or in part, by any means, or if once disseminated via the use of ICY.EMAIL’s Services, to continue to disseminate such Content.

We reserve the right to deny your Content if it exceeds limits on storage, attachment or file size allowed by the Services. In addition, if you violate any of the obligations listed in these Terms of Use, as specified above, or otherwise materially violate these Terms of Use, we may take action against you including, but not limited to, stopping providing Services to you or closing your account immediately, or blocking delivery of a communication (e.g. email, instant message, or file sharing) to or from the Services. We also reserve the right to remove or block your Content from the Services at any time if it is brought to our attention that it may violate any applicable laws or these Terms of Use. When investigating alleged violations of these Terms of Use, we reserve the right to review your Content in order to resolve the issue. However, under normal circumstances (i.e. when no violation of the Terms of Use has been reported and/or observed) we do not monitor the Content being transmitted via, and/or stored on, the Services and make no attempt to do so.

By using or attempting to use the Services, you agree, certify and warrant that you are of required age, as per respective jurisdiction in your country of residence, and have full capacity and authority to enter into this agreement. You furthermore acknowledge that you have read, fully understood and agree to be bound by these Terms of Use. If you do not meet these requirements or, if for any reason you do not agree with any of the terms and conditions contained within these Terms of Use, please discontinue using the Services immediately.

Service Availability

The Services, including third party Services, applications, products or other material offered through the Services, may be unavailable from time to time, may be available on a limited basis, or may vary depending on your region or device. If you change the location associated with your account, you may need to re-acquire the Services and/or products that were available to you in your previous region.

We strive to keep the Services always up and running; however, all online Services suffer occasional disruptions and outages. In the event of an outage or disruption to the Services, you may temporarily be unable to retrieve your email, messages and Content. We recommend that you regularly backup your Content and any other important material that you send through, or store on, the Services, or store using third party Services, applications or products.

No warranties by ICY.EMAIL

The ICY.EMAIL Services, products and software are provided on an ‘as is’ basis without warranty of any kind, express or implied. You expressly agree, certify and warrant that the use of the ICY.EMAIL’s Services is at your sole risk. ICY.EMAIL does not warrant that our Services will be uninterrupted or error free, that your email, messages, Content, data and/or files sent or stored by you through the use of our Services will be accessible to you at all times, nor does ICY.EMAIL make any warranty as to any results that may be obtained by use of our Services. No warranty is made by ICY.EMAIL regarding to any Services, products, applications, Content or other material provided through or in connection with the Services, and ICY.EMAIL hereby expressly disclaims any and all warranties, including without limitation: 1) any warranties as to the availability, quality, quantity, or Content of the Services provided to you hereunder; 2) any warranties of merchantability or fitness for a particular purpose; 3) any warranties that any email, messages, Content, information, software (including without limitation third party software) or any other products and material accessible through the Services will be free of viruses, worms, trojan horses, malware or other harmful software.

Limitation of Liability

ICY.EMAIL shall not be liable for your Content, data or any other material, third party or otherwise, including links to third party websites and activities provided by other users. Such Content, data, material, websites and activities are neither attributable to us nor do they represent our opinion.

ICY.EMAIL, its vicarious agents and/or its legal representatives shall not be liable for any direct or indirect damage, consequential or incidental, material or immaterial, emotional or other, including financial loss, such as loss of profit.

ICY.EMAIL shall not be responsible or liable for any failure to perform or delay in performing its obligations under these Terms of Use to the extent that the failure or delay is caused by circumstances beyond our reasonable control (such as labour disputes, industrial actions, acts of God, civil unrests, terrorist activity or war, malicious damage, accidents or compliance with any applicable law or government order). We will endeavour to minimise the effects of any of such events and to perform the obligations that aren’t affected.

You explicitly agree, consent and warrant without any caveats or limitations, that in case of any perceived damage, irrelevant of nature and severity, including the deletion of your entire email account and loss of your Content for whatever reason, your sole and exclusive remedy hereunder shall be for you to discontinue your use of the Services and terminate this agreement.

Updates to the Services and changes to these Terms of Use

We will inform you if we intend to change these Terms of Use. We may change these Terms of Use if it is necessary due to 1) applicable laws, including, but not limited to, change of such laws; 2) an advice and/or order based on applicable laws; 3) the evolution and updates of the Services; 4) technical reasons; 5) operational requirements; or 6) change of Terms of Use for the users. We will inform you of the intended change before it takes effect, either through the user interface, in an email message, or through other appropriate means. We will provide you with the opportunity to cancel the Services before the changes become effective. Using the Services after the changes become effective means that you agree to the new Terms of Use. If you do not agree to the new Terms of Use, you must stop using the Services and close your account without any delay.
